The Managing Director oversees day-to-day business operations for the New Mexico Actors
Lab—a theatre organization in Santa Fe, New Mexico that has built a vibrant community of
dozens of talented actors, directors, producers and others that create five or more productions
annually for an enthusiastic regional audience.
Principal job responsibilities include: overseeing
the budget and finances; facilitating and supporting fundraising activities and grant writing;
procuring licensing rights for shows; negotiating and preparing theatre rental and advertising
contracts, insurance policies, and other necessary agreements, and serving as the point of
contact for non-artistic questions.
The Managing Director and the Artistic Director jointly
supervise House and Box Office Managers and the Marketing and Social Media Coordinator,
develop and track the annual operating budget, and maintain the NMAL archives.
The Managing
Director reports to and is an ex officio, non-voting member of the Board of Directors (which
meets 3 times annually) and serves on the Executive Committee (which meets monthly and
consists of the Managing and Artistic Directors and the Board officers—Chair, Vice Chair,
Treasurer and Secretary). The position is approximately half-time, and the starting salary is
$20K/year.
Specific job duties include:
- Oversee budget and finances
- Consult with Artistic Director on budgeting of creative costs
- Pay all personnel and bills
- Deposit cash and check revenue
- Prepare reports for AD, Executive Committee, and Board as appropriate
- Maintain income and expense records at least monthly (Expenses: credit cards,
PayPal, checks, automatic bank payments; Income: Tix / PayPal, checks (donations,
grants, rental income), box office and café cash); - Monitor and keep all accounts up to date (bank, credit cards, savings, loans, business
license, etc.) - Coordinate preparation of taxes
- Maintain financial and administrative files
- Facilitate and support fundraising activities
- Maintain and update donor database
- Prepare and send acknowledgement letters for donations
- Maintain and update donor list for each show program
- Coordinate with Box Office Manager and House manager to provide donor perks, as
appropriate - Assist with fundraising and Board events as appropriate to job description
- Oversee and facilitate grant writing and management
- Prepare (or support the preparation of) and submit grant applications and reports
- Ensure compliance with grant requirements
- Research new grant opportunities (duty shared with Finance Committee)
- Procure licensing rights for shows
- Submit applications and ensure payment of royalties
- Ensure compliance with agreements, including program credits
- Manager renters of the NM Actors Lab
- Negotiate, prepare and facilitate theater rental contracts
- Coordinate with staff to help support renters during their contract
- Negotiate advertising contracts, insurance policies, and other agreements as needed
- Coordinate ad trades/ad sales/general NMAL advertising
- keep insurance policies up to date
- Prepare, disseminate, and collect all staff and contract employee agreements and other documentation
- Miscellaneous
- Serve as primary external and internal point of contact for all non-artistic questions and issues
- Check theater mailbox regularly
Joint Managing Director and Artistic Director responsibilities:
- Work with the Board Chair and EC to develop effective Board agendas and to address
organizational issues - Produce the annual budget
- Work with the Technical Director, Production Stage Manager, and Lighting and Sound
Designers in planning the specifics of all production matters to keep on budget and schedule - Supervise House and Box Office managers
- Assist with questions / issues from patrons as needed
- Substitute for house and box office manager as needed (duty shared with Board
members and possibly others)
- Supervise marketing and publicity personnel and activities (Marketing and Social Media
Coordinator)- Oversee development and implementation both long- and short-term marketing
campaigns - Oversee development of and monitor marketing / publicity calendar(s

- Press releases, calendar posts, email blasts, ads, social media posts, programs
- Oversee production of marketing and publicity materials
- Provide content and specs for marketing and publicity materials to Marketing
